Key takeaways
- Raw events, sessions and reports each have their own window, from 1 to 3,650 days.
- Defaults are 7 days for raw events, 365 for sessions and 730 for reports.
- A scheduled job runs daily at 2 AM and deletes anything past its window.
Every record you keep is a record you have to protect, explain and eventually delete. Retention is how you decide, in advance, how long each kind of data earns its place.
Three kinds of data, three windows
Raw activity events: the most detailed data, kept for 7 days by default
Activity sessions built from those events: kept for 365 days by default
Reports generated from the sessions: kept for 730 days by default
Each window can be set per organization from 1 to 3,650 days, so you can keep the detailed data short and the summaries longer.
Deletion is automatic
A scheduled job runs every day at 2 AM and removes raw events, ended sessions and reports older than your windows. Nobody has to remember to clean up.
Export first
Deleted data cannot be brought back. If you need a report for payroll, audits or records, export it as CSV, Excel or PDF before it passes its window.
Timezone and the working day
Your organization's timezone, set in Preferences, decides where each day starts and ends. Auto punch-out, break auto-close and day-wise reports are all calculated against local midnight in that timezone.
Not legal advice
Retention requirements vary by country and sector. Choose windows with a qualified adviser, and state them in your employee policy.
