Employee Monitoring Glossary: Key Terms Explained

Plain definitions of the terms used in employee monitoring, attendance and time tracking, and how TIMO360 handles each one, with no screenshots or keystroke logging.

Each term shows how TIMO360 handles it

The time during which a person is working at their computer, shown by keyboard or mouse input.

In TIMO360

TIMO360 detects input as a simple yes/no signal. The agent never sees what was typed or clicked, and meetings that employees mark in the agent count as active time too.

Activity level tracking

Messages that tell a manager or administrator when something in the workforce data needs attention.

In TIMO360

Administrators get in-app notifications when an employee has been idle or offline for over 2 hours while punched in, when a device stops reporting, and when a forgotten session is closed automatically.

Alerts and notifications

Recording when employees start and end their working day, and the breaks they take.

In TIMO360

Employees punch in and out and take breaks from the desktop agent, and reports break each day into working, idle and break time.

Attendance (punch in and out)

A system closing a work session that an employee forgot to end, so the record stays accurate.

In TIMO360

A session still open at local midnight in your organization's timezone is closed automatically, and administrators are notified.

Alerts and notifications

Recording working time in the background, without employees starting and stopping timers or filling in timesheets.

In TIMO360

Employees punch in once and the desktop agent records active and idle time until they punch out or take a break.

Automated time tracking

Time an employee steps away from work on purpose, such as a lunch or a short rest.

In TIMO360

Breaks pause tracking and are recorded separately, so a break is never mistaken for idle time. Employees can add an optional reason.

Breaks and meetings

Collecting only the data that is actually needed for a stated purpose, and nothing more. It is a core principle of GDPR.

In TIMO360

TIMO360 never collects keystrokes, screenshots, webcam or audio, and never records full page URLs. Organizations stay responsible for telling employees how they are tracked and for complying with local law.

Privacy and data protection

How long collected data is kept before it is deleted.

In TIMO360

Raw activity events, aggregated sessions and reports each have their own retention window, from 1 day up to 10 years. Data older than the window is deleted automatically.

Data retention

A small program installed on an employee's computer that reports activity data to the monitoring platform.

In TIMO360

The TIMO360 agent runs on Windows, macOS and Linux, sends at most one batched heartbeat every 30 seconds and updates itself when it starts.

Download the agent

Software that records how a team works, such as attendance, active time and application use, so managers can report on it.

In TIMO360

TIMO360 does this from presence signals only. It never takes screenshots, logs keystrokes or accesses the webcam.

Employee monitoring solution

Measuring how work happens, such as who is present, active or idle and which applications are in use, instead of recording what employees see or type.

In TIMO360

TIMO360 works from presence signals and attendance records, and every employee can see their own data in a personal report.

What employees can see

A one-time code an employee enters to link their computer to their organization's account.

In TIMO360

The code is single-use and comes in the employee's invite email. It expires after 1 day, and administrators can resend an invite. Nothing is tracked before a code is entered.

Device management

A team that splits its time between an office and remote locations.

In TIMO360

The agent runs on each employee's own computer, so attendance and activity are recorded the same way in the office and at home.

Work from home monitoring

How long a device can go without keyboard or mouse input before it is counted as idle.

In TIMO360

Administrators set it per organization, anywhere from 30 seconds up to an hour.

Configuring idle thresholds

Time during which a person is logged in but there is no keyboard or mouse input.

In TIMO360

When there has been no input for longer than your idle threshold, the device is marked idle. Breaks and marked meetings are recorded separately and do not count as idle.

Activity level tracking

Recording every key an employee presses, which can capture passwords and private messages.

In TIMO360

TIMO360 does not do this. The agent only detects whether keyboard or mouse input is happening, never what was typed or clicked.

Is TIMO360 a keylogger?

Time spent on calls or meetings, which often involves little keyboard or mouse input.

In TIMO360

Employees mark a meeting from the agent. That time counts as active even without input, and no application or window detail is recorded during it.

Breaks and meetings

The state of a device or employee that is not currently reporting any data.

In TIMO360

A device that stops reporting is marked offline. Administrators are alerted if it stays silent for over 2 hours while its employee is punched in.

Device management

Knowing whether people are present and active, without recording the content of their work.

In TIMO360

TIMO360 reports presence signals only: the active application, window title text, a yes/no keyboard and mouse signal, and the punch, break and meeting times employees record.

Privacy and data protection

The actions an employee takes to start and end their working day.

In TIMO360

Tracking starts when an employee punches in. Nothing is tracked before they punch in, after they punch out or during a break, and each day has one punch-in.

Attendance (punch in and out)

A live view of what the team is doing now, instead of a report built after the fact.

In TIMO360

The dashboard shows how many employees are active, idle and offline right now, and the employee status table refreshes automatically.

Real-time monitoring

Giving each person access to only the data their role requires.

In TIMO360

Roles are Org Admin (full or view-only access), Manager and Employee. Managers see only their assigned departments, and employees see only their own data.

Roles and access control

Requiring a second proof of identity, such as a code from an app, in addition to a password.

In TIMO360

TIMO360 supports two-factor sign-in. Passwords are hashed with Argon2id, and access tokens are short-lived.

Security and privacy

The text shown in the title bar of the application window that is in front.

In TIMO360

TIMO360 records the title as text. For a browser it is the name of the tab, and page URLs, domains and page content are never recorded. On macOS, each employee chooses whether to allow window titles.

Websites and window titles

Tracking attendance and activity for employees who work remotely.

In TIMO360

Attendance, active and idle time, breaks and device status come from the agent on each employee's own computer, with no screenshots, webcam or keystroke logging.

Work from home monitoring

Turning attendance and activity data into patterns, such as when a team is most engaged.

In TIMO360

Live team status, an hourly Active vs Idle chart and daily, weekly and monthly reports, exported as CSV, Excel or PDF.
